You can help your students to track the hours they've contributed to an opportunity. From your educator account in Xello, you'll navigate to the list of student requests, where you can select a student's opportunity to add their ongoing hours, supervisor, and any files. Or you can mark a student's status as completed and add their hours from there.
Meanwhile, when your students access the opportunity in their Xello account, they'll see the hours and any files you've added on their behalf.
Track ongoing hours
You can track the hours a student has completed by going to the opportunity they're participating in and adding the hours. Every time you add more hours, the total for that opportunity will be recorded. This makes it easy to track the total hours a student has completed for their opportunity.
To track ongoing hours for a student's opportunity:
- From your educator account, click Features and select Work-based learning.
- Click Manage next to Student requests to open the list of opportunities requested by students.
- Tick the box of the name of the student whose opportunity you'd like to input hours for.
- Click Add hours.
- Fill out the required dates and time. You also have the chance to add their supervisor contact details, and any supporting files. If you're able to confirm your student's hours are accurate and that any evidence attached is correct, you can tick the Verify box.
- When you're done, click Add hours to save your work. When you return to the opportunity, you'll see their hours and any files that you added.
Track once completed
Once a student completes a
To input hours:
- From your educator account, click Features and select Work-based learning.
- Click Manage requests to open the list of student requests.
- Tick the box of the name of the student whose opportunity you'd like to input hours for. You can select multiple students.
- Click Change status.
- Select Completed.
- Fields for Total hours will show.
- Add the total hours and minutes that the student has completed at the opportunity.
- Click Add.
Verify hours
You can verify that the hours students have submitted are accurate and that any evidence attached is signed and dated correctly. They may submit timesheets, signed letters, or other files to support the amount of hours they're inputting. Once you verify the hours, students cannot make changes to them. For students, the hours you've verified will immediately show with a "verified" tag in their Xello account.
To verify hours your student has submitted:
- From your educator account, click Features and select Work-based learning.
- Click Manage requests to open the list of student requests.
- Click on the name of the student with the opportunity you'd like to input hours for. This will open the student's opportunity with their hours, submitted files, and additional information.
- In the Hours table, find the submission you want to verify. In the Verified column, tick the box.
- The student will not be able to make changes to these submitted hours once they've been verified. A "Verified" tag will immediately show in their account to let them know you've confirmed.
